WhatsApp Agent

Organise appointment requests without losing the context of the conversation.

Create your account, choose a plan and configure the initial WhatsApp response. The agent can collect preferences in the conversation; your team checks the calendar and confirms the appointment.

Interface languages: Portuguese (Portugal). Portuguese (Brazil) and British English — coming soon.

How to organise the work

  1. Configure the initial responses

In your account, configure instructions, tone, language and the AI mode. Prepare service information in the instructions and public catalogue offers. Your team should keep that information up to date.

  2. Gather the context you need

Define useful questions in the instructions: the service required, a preferred day or time, and a contact for follow-up when needed. Collect only the information useful for handling the request.

  3. Have a person confirm availability

The current product does not check calendars or confirm appointments automatically. Your team checks its calendar and replies to the customer. The agent must not invent available slots or present a preference as a confirmed appointment.

  4. Take over the conversation when needed

Your team can consult the history, take over the conversation and pause automation. Prepare for exceptions: a change of service, a question not covered, a complaint or an explicit request to speak to a person.

What to prepare before you start

Service offers and instructions

Gather descriptions, expected durations where applicable, prices that may be shared, and rules for changes or cancellations. Configure only validated information and keep it up to date.

Calendar and human confirmation

Decide who checks the calendar and confirms the appointment with the customer. The calendar remains in the system your team uses; the current product does not include a calendar integration.

Customer service owner

Decide who monitors the inbox, during which hours, and how the team reviews incorrect answers or requests that have not been followed up.

Limitations to consider

  • Choose a plan with limits suited to your operations and test customer service before using it with customers.
  • Calendar checks, automatic confirmation, a document-based knowledge base and a complete CRM are not included in the current product.
  • Questions beyond the instructions and situations requiring judgement should go to a person. Respect consent and channel rules.

Questions before you start

Does the agent confirm appointments automatically?

No. The current product can collect preferences in the conversation, but it does not check availability or confirm appointment times. Your team checks the calendar and confirms the appointment with the customer.

Can I keep using my existing calendar?

Yes. Your team continues to check it and record appointments manually. WhatsApp Agent does not include an automatic connection to that calendar; any future integration project should be handled separately.

Does the service run without human supervision?

No. Your team remains responsible for the information, exceptions and quality of service. Test ambiguous questions, unavailability and requests to speak to a person.

How can I get started?

Create your account, choose a plan and configure instructions, tone, language and the AI mode. Test customer service and human handover before using the workflow with customers. You can start by collecting requests and confirming the calendar manually.
